Lawn care quote template for South Africa

A quote that sits in WhatsApp for a week is not a quote. It is a maybe. South African lawn and garden owners win work when the client can see what will be done, what it costs in Rands, and how payment will work once the job is finished.

This template is for SA lawn care and garden service businesses that still type quotes in Notes or voice-note prices over the fence. Use it to standardise what you send before the first cut, then hand off cleanly to an invoice with bank details and Outstanding/Paid so the chase does not start the day after you finish.

What a good SA lawn quote includes

Keep it phone-friendly. Estates and complexes often decide from a WhatsApp PDF, not a printed letterhead. Include:

  • Your business name and WhatsApp number
  • Client name, suburb, and site notes (gate code later; do not put codes on a forwardable quote if the estate forbids it)
  • Scope in plain language: lawn cut frequency, edging, beds, waste removal, once-off tidy vs monthly package
  • Line prices in Rands; say whether VAT is included
  • Validity window (e.g. 7 to 14 days) and preferred start week
  • How you get paid after the work: EFT to the bank details that will appear on the invoice

SA garden businesses commonly get paid via EFT after the work. Set the expectation early: when the job is done, they will receive an invoice with your bank details and a clear amount.

Quote to accept to invoice flow

  1. Save one master quote layout (Sheet or PDF), or build it in YardOps.
  2. Duplicate per lead. Do not overwrite last month's Sandton quote with a new Centurion one.
  3. Separate once-off cleanups from recurring monthly packages so the client can choose.
  4. Send on WhatsApp with a short human line ("Here's the quote for the Friday tidy, reply yes if we should book").
  5. When they accept, book the job; when you finish, convert the same figures into an invoice linked to that client.
  6. Track money with Outstanding until the deposit shows, then Paid.

  • Same client record for quote history and invoices

Common SA quote mistakes

Vague "garden maintenance R800". Say what is in and out: lawn only, or beds too? Clippings left or removed?

No validity. Fuel and labour move; a quote without a date invites awkward renegotiation on the driveway.

Bank details only after three reminders. Put the payment story on the eventual invoice from day one of your process, even if the quote itself stays price-and-scope focused.

Treating every yes as paid. Acceptance is not settlement. Outstanding/Paid is how you stay honest with yourself.
